The Internet has made life much easier in a whole variety of different ways, and one of the most useful is certainly the introduction of email. No longer do we have to wait days or weeks for a letter to arrive. Now a letter sent is bound to reach its destination in a matter of minutes, not days, no matter where in the world it is being sent. But Writing Email often has the effect of making people sloppy writers, and while not only being disrespectful to whoever is receiving the mail, it can also reflect badly on the writer in business-related emails. There are many guides available that can help one to improve one's email-writing, but here are a few tips that are useful to remember.
An email is just like an old-fashioned letter except that it is delivered nearly instantaneously and a reply can be expected in a very short time indeed. But just because it is a fast communication method does not mean that when one is Writing Email messages the same amount of care taken in the writing should be less. With the speed of email, many people often write a reply without clearly thinking about what they write. While in some circumstances there is no real big problem, in others this could result in the loss of business when one inadvertently insults a client. As a general rule, it is better to take the same amount of care in Writing Email as one does in writing anything else.
One aspect of emails the differs from traditional letters is the subject line. This line cannot be ignored, as it is the first thing a reader sees. When Writing Email messages, the content of the subject line should be brief and simple while still being informative. A good subject line often gives the reader an expectation of what the content of the email is going to be. A subject line could read, "Staff Meeting" but a more useful subject line would read, "Staff Meeting to Discuss Office Renovations." The second subject gives the reader a clear indication of what the email is about while the first is very general and the reader might decide to wait before reading it when it might be an important announcement.
Writing Email messages should be tackled in much the same way as writing a letter should be tackled. This means that there should be a clear and polite salutation along with a polite closing at the end. While it is fine to use simple words like "Hello" to open an email message between friends, when dealing with others, it is best to err on the overly polite side than to sound too familiar. It is also important that attention be paid to the style in which the email is written. Many people write in a very informal style and fill an email with smileys or Internet acronyms. While there is nothing wrong with these devices in personal email, they do convey a rather unprofessional attitude.
Writing Email messages is as important as writing letters. By paying attention to what is written, one can save oneself a lot of embarrassment in the long run.
